Duties and responsibilities:

Strategic Planning:

  • Contribute to the development and alignment of a Communication and Marketing Strategy for the UFS in support of the university’s vision and strategic goals as set out in the Strategic Plan.
  • Contribute to the development and alignment of a communication strategy in support of the university’s Integrated Transformation Plan (ITP).
  • Support the Director in execution of the department’s institutional requirements, i.e. service level agreements with internal stakeholders, guidelines, policies, etc.
  • Oversee, update and execute the department’s Stakeholder Relations Strategy.
  • Oversee, update and execute the Media Relations Strategy.
  • Update and contribute to the departmental Risk Register.

Strategic Management:

  • Assist staff to formulate operational/tactical plans that support the Communication and Marketing Strategy.
  • Provide strategic leadership in DCM.
  • Support Director with assigned duties. Oversee, update and execute the department’s Crisis Communication Strategy.
  • Update and contribute to the departmental Training Schedule.
  • Coordinate the planning, execution and updating of the Integrated Marketing Plan.
  • Monthly reporting on the unit’s work and outcomes in line with the university’s Strategic Plan.

Stakeholder Engagement:

  • Coordinate stakeholder-engagement activities and engagement and facilitate full stakeholder engagement by means of planning, coordinating and reporting on these strategic partnerships with relevant internal stakeholders/departments. This includes stakeholder mapping and clear alignment of messaging in support of the Strategic Plan.

Visitors Centre and Contact Centre:

  • Manage the communication needs of the Visitors Centre including; branding and supply of information  and material.
  • Update and make available information brochures, booklets and maps for visitors.
  • Update information regularly on the Visitors Centre web page.
  • Ensure that enquiries in the Visitors Centre email are answered.
  • Handle complaints from staff/students/parents/general visitors concerning the service they receive at the Visitors Centre and Contact Centre.
  • Maintain the service level agreement with Protection Service.
  • Monitor phone systems and emergency communication procedures.

Media Relations:

  • Oversee the media liaison function. This includes positioning the UFS as a thought-leader in the local, national and international media, and ensuring accurate and effective media monitoring and analysis.

Events and Protocol Management:

  • Oversee the successful execution of institutional events.
  • Oversee the Department’s role and responsibilities in the execution of graduation ceremonies on the Bloemfontein and Qwaqwa Campuses in line with the service level agreement with Student Academic Services. This includes the facilitation of participation of speakers at graduation ceremonies on the two campuses.
  • Ensure adherence to institutional protocol in the execution of events.
  • Oversee operations of the Centenary Complex and scheduled institutional events.
  • Maintain service level agreements with relevant departments, including University Estates, Student Academic Services, Protection Services, etc. in the execution of institutional events.
  • Oversee smooth running of the Centenary Complex and its maintenance in relation to events scheduled monthly.

News Curation:

  • Contribute to the Department's News desk according to assigned portfolios.

People Management:

  • Supervise/manage performance in the unit for Stakeholder Relations.
  • Develop, implement, and monitor performance indicators for the unit.
  • Maintain positive employee relations.    
  • Supervise and manage employee performance.
  • Manage the training and development of staff.
  • Drive change management within the unit.
  • Manage human resource administration.
  • Ensure that information affecting staff is communicated to them.
  • Monitor adherence to relevant policies and procedures.

Financial Management:

  • Manage costs against the approved budget of the unit in line with organisational policies and guidelines.
  • Investigate and implement methods to reduce/contain costs.

Measurement:

  • Assimilate and analyse trends in the national and international environment within area of responsibility, as well as that of the Department.
  • Design and implement interventions to introduce best practices in the unit.
  • Facilitate the measurement of all interventions and campaigns in the Department and report on that to the Director.
  • Interpret and report on impact of interventions.
  • Utilise measurement to optimise the impact of interventions.

Inherent requirements:

  • Bachelor’s degree or an Advanced Diploma/B.Tech degree/Postgraduate Certificate on NQF level 7 in Communication or Marketing.
  • Five (5) years’ relevant working experience related to the duties and responsibilities as set out above.

Required competencies:

  • Knowledge of customer service management.
  • Knowledge of institutional protocol in the execution of events.
  • Knowledge of media relations and media analysis.
  • Proven experience in writing for publications.
  • Knowledge of industry best practices.
  • Good interpersonal and communication skills and the ability to function with ease in the University's richly diverse working environment.
  • Language proficiency in the official language of the University.

Recommendations:

  • A valid driver’s license (please attached a copy).
  • Proven experience in stakeholder relations management in the higher education sector.
  • Proven experience in media communication in the higher education sector.
  • Knowledge of event management in the higher education sector.

Assumption of duties: As soon as possible.
